Report a translation problem
As a general rule, it feels like you have to have a certain distance between you and others to get a response, but just what the distance is may vary from ghost to ghost. It may be that only so many people may be near the ghost at a time, which is hard to judge as well, as some ghosts invisibly stalk players.
I guess just keep it in mind when investigating, and if you have trouble gathering evidence, spread out more and more until it gets easier.
Usually it helps getting a response from the spirit box much faster when having only one player in the ghost room, with lights off, and the door closed. The others can stay right outside that room.
Ghosts that haunt in hallways are different though, as they seem to respond less often. Might be because they are roaming a much larger area, so they are outside the players range much more often.

You can be outside the room looking in to take pictures or have other equipment like EMF or Thermometer to check for freezing temps while you wait for ghost to respond.
Typically we pick 1 player in our team to go in alone with a candle so they don't lose sanity and the rest of us will sit just outside the threshold of the doorway. Usually 1 of us will have a camera ready in case the ghost shows itself or another will have smudge sticks in case it hunts. Either way the person who is alone in the room stays in there with the spirit box and tries to get reactions.
Should be pretty easy to do if you ever have "alone" ghosts.
If ever you think you have a Shade on your hands even if the ghost "responds to everyone", just have 1 player alone in the room and you will see plenty of activity. If its still not giving you any, make it so that only 1 other person is in the room outside the ghost room and 1 player inside the ghost room. THe rest have to be around in other rooms somewhere, preferably alone. Otherwise Shades will never give any evidence at all :\
That said our default strategy is also to split up, which makes the "alone" part easier.
