Once you do that and you assign monks to the dorms they will automatically start taking the jobs within the monastery even if their rank is not high enough for them
Sub buildings can be build detached... So you can create space between them :) They only need their own entrance. It is actually a very cool feature
You do need a building for each of those. And you should be able to select the whole monastery and see how many slot by building are available. But again, each of those function needs its own building. You can see in the right side of each building if they are missing a requirement (entrance for example etc...)
Can you screenshot and show what you see ?
build a monk dorm. click on the building and edit it, use the + at the bottom and add berry planter for eg. build it. now its working together. Monks from THAT dorm will staff the planter.
