Conference room issue

I have conference rooms, there's a visitors security zone around them, I assigned sales reps to airlines.
Problem is, sales reps are sitting in the conference rooms, it says that conference room is being set up, airline representatives are idleing all day, and my communication with the airline is dropping.
ATM I do not negotiate with any of the airlines, so maybe this is normal?!

Hello, there's a chance that they were on a meeting break but if it has gone on for a long while please send in a save and we will investigate why this is happening. Thankyou!

No, they've been like that all day.

Edit: I've managed to fix the issue. The reception desk was on the edge of the visitor reception zone (like this)

and for some reason it was a problem.
When I pushed it one tile inside the zone, all of the sudden the started to get in.

Hello, yes that is indeed the problem! There is supposed to be an error showing to warn the player, we'll get it working.
