My planets are usually called something like:
01H|F|Energy
Whereas 01 iterates upwards as I gain more planets (important to differentiate planets in events and UI elements that don't sort by name), and the H clarifies that it's a habitat.
The latter part is what I plan to do with the planet, and then there are a few "tags" in the middle. F stands for finished for example, a planet that I don't need to do anything with anymore.
That's pretty much all the information I need.
00,01,02,03,04,05 for segments of ringworlds. Top of list so 01,02,AA,AB.
Per sector AA,AB,AC,AD,AE,AF,AG,AH,........AZ
second sector BA,BB,BC,BD,BE,........BZ
third sector CA,CB,CC,CD,CE,CF,.......CZ
In a sector the encumopolis at the top so AA,........
And the thrall worlds at the bottom so AX.......... So AY thrall
In the end game it is better to remove the planet name and only use AA planet designation.
And sort the sector in encumpolis planet at the top and thrall worlds down the list. It is a way to know where to dump pops. In sector management, restructuring.
In the end game you want to move pops and know where to dump them and it is fun to try to sort the planet pops to mono planets. And this is a way to do it.
So you can move pops to the most productive planets and ringworlds.
And it is easier to remember something has happend at planet AA or BC than planet Arrotofksjfka or Bfasfasjiasdjhgf has had an event. GE Is sector G planet E. Easy to use.
Bfasfasjiasdjhgf is a planet where on the map?
And it is easier to use the menu to resetle pops, The list more in a way that is pleasing on the eye. The name with is showed in the list so shorter names wil gives an easier list.
So why use the name if you only want to know the location of a planet in a sector.
There is a button to move the planets up and down in the list, can be helpfull.
Pops is the core of the game a management game, like Stellaris the tools to manage, move the pops is lacking.
But I have some paper notes I'm using for micromanaging, and often what I want to do is find the planet with a given name in the outliner. With a massive sprawl of 150 colonies after my last absorption scrolling up and down the outliner looking for the right planet is a PITA.
I'm thinking I'll go through and add numbers in front of the names in the order they appear in the outliner, but it's going to be a chore. Wish I had another computer so I could do my paperwork microing in excel instead.
Having to find a planet without a reference point should be really rare, so maybe you're missing one of the shortcuts.
Sol - Energy

Sol - Research
Sol - Goods
Sol - Admin
Sol - Crystals
Sol - Gas
Sol - Motes
Sol - Barracks
That's about it, fits on the UI, easy for me to read. Some mods have a few more resources which I add. It's especially useful for ringworlds or when I start adding more habs or artificial planets.
As to why, I play on a 2.5 or 3 thousand star map. So a method of easily referencing a few hundred colonies is useful, where the northern barracks is for example.
System Name is the default name of the colony. If multiple planets in a system, then I name them System 1, System 2, System 3, etc. If I have habitats, I name them System h1, System h2, System h3 etc. If ringworld segments, I name them System-1, System-2, System-3, and System-4.
Or I just hit the random name generator and tab through the planets until I get what I need.
Lots of these names are straight up borrowed from Mass Effect. Buggers making that game nailed their planets names so why not?
